Create a routine

Build your own routine for anything you want to keep an eye on — described in plain English, on the schedule you choose, delivered to your phone.

Beyond the built-in Daily Briefs, you can create routines of your own for anything you'd like to stay on top of — unread email, new leads, competitor moves, your weekly numbers, a nudge before your standup. You describe it in plain English, pick when and where it runs, and your assistant takes it from there.

Create a routine

Open Routines and start a new one

Go to the Routines page and choose to add a routine. You can start from a blank routine or pick a ready-made idea from the gallery.

Describe what it should cover

In your own words, say what you want the brief to include — and what to leave out. Be specific: the clearer you are, the more useful the result.

Choose when it runs

Set a schedule (like every weekday at 8am) or a trigger (like whenever a new email arrives). See Schedules & triggers.

Choose where it's delivered

Pick the phone channel it should send to.

Set the scope and turn it on

Keep it personal or share it with your workspace, then switch it on. It runs from the next scheduled time.

Describing what you want

A routine is only as good as its description, and plain English works best. Tell it the topic, the shape you want, and any focus. For example:

  • “Every weekday at 8am, summarize my unread emails grouped by importance, and flag anything urgent.”
  • “Each morning, give me the top three things to focus on today from my calendar and tasks.”
  • “Every Monday, pull last week's numbers from my connected tools and tell me what went up, what went down, and one thing to watch.”
Say what to skip, too. Telling a routine what to leave out — newsletters, low-priority senders, anything you already track elsewhere — is one of the fastest ways to make its briefs sharper.

Give it something to work with

Routines read the same tools your assistant does. The more of your world you've connected — email, calendar, your CRM, your billing tools — the more a routine can pull into its brief. A routine only ever reads this information; it never changes it.

Choose where it lands

Every routine delivers to a phone channel, so you get it wherever you already message. Connect WhatsApp, iMessage, Telegram, or SMS once, then choose it when you set up the routine. See Channels to get connected.

Personal or workspace

Choose whether the routine is just for you or part of your shared workspace. Personal routines are tied to your own accounts and phone; workspace routines suit briefs the team benefits from.

Not sure where to start? The Discover gallery is full of ready-made routines you can turn on in a tap and then tweak — often the fastest way to build your first one.
